Privacy Policy

This Privacy Policy explains how Zane handles personal information when you visit zane.legal, create an account, or use our software to prepare and collaborate on a mortgage application. Zane provides software; your broker, lender, and other financial institutions have their own responsibilities and privacy notices.

Information we collect

Account information includes your name, email address, account identifier, authentication details, and preferences. If you use Google sign-in, we receive your Google account identifier, verified email address, and available basic profile information, such as your name and profile picture. Google sign-in does not by itself give Zane access to your Gmail, Google Drive files, contacts, or calendar.

Application and workspace information includes information you or your authorized team provide: contact details, addresses, household and employment information, income, assets, liabilities, identification information, application answers, supporting documents, messages, and recorded decisions. Some of this information is sensitive. Optional communication features may process call details, recordings, or transcripts when those features are used.

We also process technical information needed to operate and protect the service, such as device and browser information, network and request information, sign-in activity, errors, and records of actions within the service.

How we use information

We use information to create and authenticate accounts; save and organize applications and documents; support collaboration and authorized sharing; provide document extraction, analysis, and assistant features; communicate about the service; troubleshoot problems; prevent misuse; and meet applicable obligations. Creating an account alone does not give you access to a loan or another organization’s information.

Google data and optional connections

Google sign-in information is used to identify you, secure your account, and display your account details. Optional integrations request their own permissions when you connect them. For example, Google Drive permissions may cover selected or created files, or broader read-only file access when you authorize that connection. A calendar connection may read calendar and event information or create and update events, depending on the permissions granted. Connected data is used for the feature and actions you request.

Zane’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. Google API data is not used for advertising or to train generalized artificial intelligence or machine learning models. You can revoke Zane’s Google access through your Google Account permissions; revocation does not automatically delete information previously saved in an application or workspace.

AI-assisted processing

When you or an authorized team member use an AI feature, relevant instructions, messages, document content, or application information may be sent to AI service providers to produce the requested result. AI output can contain errors and should be reviewed before it is relied on or shared. We use service providers to deliver these features; the information sent depends on the feature and the material needed for the request.

When information is shared

Information may be available to the broker, organization, co-applicants, lenders, and other recipients permitted by the application’s access controls and sharing actions. The audience depends on your role, the workspace, and the information being shared; creating an account or receiving an invitation does not make all loan information public.

We use providers for authentication, hosting, storage, document processing, AI, communications, and operational support. These providers process information to deliver their services. We may disclose information when needed to comply with law, respond to valid legal requests, protect people or the service, or carry out a business transaction subject to applicable protections.

Cookies, storage, and security

Zane uses cookies or browser storage for sign-in, session continuity, preferences, and application functionality. Hosting and service providers may also process technical information to deliver and secure their services. Blocking required storage can prevent sign-in or other features from working.

We use access controls and technical safeguards designed to protect information. No service can guarantee complete security. Keep your credentials and personal invitation links private, and contact us if you believe your account has been misused.

Retention and deletion

We retain information as needed to provide the service, maintain application and audit records, address security and operational needs, resolve disputes, and meet applicable obligations. Retention depends on the information and the workspace; we do not promise a single automatic deletion period for all records. Backups and records required by law or a financial institution may remain after an account or access is removed.

You may contact us to request access, correction, export, or deletion. We may need to verify your identity and coordinate with the organization responsible for the application. Removing your account or revoking Google access does not by itself erase a broker’s or lender’s required records.

Your choices and rights

You can choose email/password instead of Google sign-in, decline optional integrations, and manage Google access in your Google Account. Depending on where you live and the circumstances, you may have rights to access, correct, obtain a copy of, delete, restrict, or object to certain processing of your information. Contact us to make a request or ask how these rights apply. Your broker or lender may be the appropriate contact for information it controls.

Other information

Our providers may process information in countries other than the country where you live. Zane is intended for adults using mortgage and related business services, and is not directed to children under 13. Third-party sites and connected services have their own privacy policies.

We may update this policy as the service changes. We will update the effective date and provide additional notice where required. Material changes to how Google data is used will be disclosed, with additional authorization where required.

Contact

For privacy questions or requests, contact Zane at davidpark@zane.legal. Please do not include Social Security numbers, account numbers, or financial documents in an initial email; we can arrange an appropriate way to handle your request.
